1.Introduction

1.1. Who we are

Wemates is a Peer-to-Peer (P2P) Risk-Sharing Network that brings individuals together to manage risks tied to income, health, travel, and personal property in a transparent, inclusive, and community-driven way. Beyond being a network, Wemates functions as a comprehensive technical facilitator — streamlining the operation of P2P groups by acting as a dynamic intermediary for risk-sharing, handling payments, and assisting in claim processes. We also provide tools for managing group activities, resolving disputes, and maintaining a protocol database.

1.2. Wemates' P2P Risk-Sharing Model

Our network operates on a transparent, inclusive, democratic, and fair peer-to-peer risk-sharing model. Members collectively set the rules — we don't interfere or impose hidden fees. Every member has a voice in shaping the community's guidelines.

All financial transactions and fund management activities are recorded in a segregated internal ledger operated by the platform. Every contribution, payout, and reserve movement is logged and visible to pool members through real-time reporting.

Wemates operates a single platform account with a licensed payment provider (Stripe). Funds belonging to each pool are segregated through the platform's internal ledger, so every pool's balance is tracked, protected, and reported separately.

Wemates follows a decentralised governance model: pools are self-governed communities, and decision-making power rests with their members. By joining a pool, each member mandates Wemates, acting as a neutral technical facilitator, to monitor transparency and fair compliance by all participants with the pool's terms. This oversight is carried out through automated (AI-based) verification combined with manual review by the platform's team, strictly under the rules published for each pool. Wemates verifies facts against the pool's predefined rules; it does not act as an insurer with an interest in the outcome.

2.Summary of the P2P model

2.1. Pools — the framework of self-governed communities

Pools are communities of peers ("mates") who share similar risks and collectively fund each other's protection, operated on the Wemates platform with clearly defined coverage scopes and payout rules agreed upfront.

Pools can be formed around: type of covered object (smartphones, bicycles, pets, etc.), nature of covered incidents (collisions, third-party damage), affinity groups (shared interests or professions), or geographical proximity.

Joining a pool requires invitation and successful identity verification. Coverage activates once the applicable waiting period has passed and funds are allocated into the mutual pot.

All funds, including premiums and Support Fund contributions, are managed by Wemates with detailed financial reports available in real time to all members. Incomplete claims will prompt the claimant for additional documentation.

2.2. Peer-to-peer coverage

Within Wemates, every member is both a benefactor and a beneficiary within their chosen pools — providing and receiving coverage simultaneously.

Pooled coverage mechanism — all member contributions form a shared pool fund, from which verified claims are paid:

Available Coverage = Total Pool Contributions × Liquidity Coefficient − Paid Claims

This means your protection grows as the pool grows: every member's contribution strengthens the protection of all.

Coverage limit calculation — your total coverage limit is set by the pool's total funds and its Liquidity Coefficient (see Section 2.5), and may adjust as the pool evolves.

Trust Score — each member is assigned a Trust Score (0–100) assessed by the platform, based on onboarding verification (identity, credit history, publicly available information) and ongoing behaviour within the pool. These checks exist solely to protect the safety and solvency of the pool. The Trust Score determines only the depth of verification applied and how claims are routed — it never prevents a member from joining a pool and never affects contribution amount. Depending on the Trust Score, one of four verification tiers applies: High Trust (80–100) — claims are approved automatically once document checks pass; Standard (50–80) — claims are reviewed within 24–48 hours; Extended Verification (25–50) — additional documentation is requested before a claim is approved; Manual Review (0–25) — each claim is reviewed personally by the platform's team to agree on the right terms. Under every tier, the member's pool membership and coverage remain fully active. An explanation of any decision based on the Trust Score is always provided to the member.

Financial management — contribution amounts for each plan or category follow the pool's published pricing, so you always know your monthly commitment before joining.

2.3. Dynamic coverage adjustment

Wemates uses a Dynamic Coverage Adjustment Suggestion mechanism to ensure equitable fund distribution and fair coverage as risk and claims evolve within each pool. The platform's internal ledger and real-time reporting keep all financial activity transparent.

2.3.1 Predictive analysis

We use AI analytics to forecast claim frequencies and volumes, enabling proactive suggestions about coverage limits aligned with available pool funds and projected member needs.

2.3.2 Flexibility in coverage

In response to predictive analytics, coverage limits may be dynamically adjusted by pool members during periods of high claims. Wemates provides analytics-driven recommendations; all members are notified and can review proposed changes individually — ensuring any change reflects informed, member-driven decision-making.

2.4. Adding new members to a pool

Membership requirements are defined per pool and published transparently.

Application submission — applicants submit a comprehensive application meeting the pool's specific requirements (for example, item descriptions and photos, usage patterns, and any prior claims for item-based pools).

Insurable value — the application should specify the insurable value of the item, unless the pool rules already define it.

2.5. Coverage — partial insurance and reimbursement

Coverage = Total Contributions × Pool Liquidity Coefficient − Paid Claims

The Liquidity Coefficient is the percentage of total contributions accessible for payouts. The remainder is reserved for operating expenses, contingencies, and future needs, after deduction of the 10% platform maintenance fee (see Section 2.7.4). As pool membership grows, the coefficient increases — every new member strengthens the whole community's protection.

Pool membersLiquidity coefficientStage

100–2500.7Risk stabilisation
250–5000.8Near break-even
500–1,0000.9Healthy P2P
> 1,0001.0Fully mature

Your Coverage is always visible in the app, so you know what reimbursement to expect for a given incident.

Follow-up claims — if an incident reveals additional, unforeseen expenses (such as hidden damage), you can submit a follow-up claim, provided it follows the pool's rules and the cumulative claimed amount doesn't exceed your insurable value.

2.6. Pool rules

Pool rules establish, at minimum: the type of coverage (e.g. theft, loss, accidental damage), the item(s) covered (e.g. electronic devices, bicycles), and the coverage period. This structure allows for a personalised approach to risk-sharing while keeping the framework consistent for every member of the pool.

2.7. Contributions, payments, and financial management

2.7.1 Regular contributions to pool funds

Initial contribution — you make a one-time payment (3-month upfront access) upon joining the pool.

Regular monthly contributions — after that, a monthly subscription provides a consistent flow of funds to cover potential claims. Stripe automatically charges your card after 3 months.

Adjustments — contribution amounts and mechanisms may be reviewed to stay aligned with the pool's and Support Fund's evolving needs.

Cancellations — you may cancel at any time; your contributions stop at the end of the current billing cycle. New members also benefit from a statutory 14-day cooling-off period (EU right of withdrawal) from the date of joining; if coverage has already started at your request, any refund may be reduced proportionally to the service already provided.

2.7.2 The Support Fund

A specified percentage of each member's contributions is allocated to the Support Fund — a collective reserve that bolsters coverage capability during periods when claims threaten to exceed a pool's conventional resources, ensuring continuous, reliable support for members' claims.

2.7.3 Payment processing and financial management

Wemates works with reputable payment processors, including Stripe, to manage contributions securely. The specific processor may vary by member location. You're responsible for complying with your payment provider's own terms; Wemates isn't liable for disputes arising from your relationship with the payment processor. You're also responsible for any taxes or fees applicable to your contributions under local law (US, EEA, and other jurisdictions) — we'll provide guidance, but the responsibility is yours.

2.7.4 Platform maintenance fee

A flat 10% fee is levied on each member's contribution to their pool's funds, to sustain the platform's infrastructure, security, and ongoing development. It's automatically deducted during processing — no extra steps needed on your part. Please factor this into your financial planning.

2.8. Management and transparency standards

Detailed financial reports — contributions, pool and Support Fund status, and disbursement records — are available in real time on each member's dashboard, supporting informed decision-making and mutual accountability.

3.Important information

3.1 Disclosure of information

We rely on the information you provide during registration and claims. It must be accurate and complete, as all transactions are recorded in our audited internal ledger. Inaccurate information may invalidate your coverage or lead to claim rejection, and this duty applies to any updates or renewals too.

Wemates uses trusted KYC providers (such as Sumsub, Onfido, or Veriff) for identity verification, helping us meet AML/CTF regulatory requirements and reduce fraud before a member joins a pool. We may also perform credit history checks and review publicly available information as part of your Trust Score. The outcome never prevents you from joining a pool — it only determines the level of verification applied.

3.2 Compliance with policy

You're required to adhere to these terms throughout your participation. Non-compliance may result in nullification of your coverage. For accessible policy documents, contact help@wemates.ai.

3.3 Modifying your coverage

Self-service adjustments — you can directly modify your coverage options, update insured item details, or change your personal information through the Wemates app.

Notification to pool members — changes to your coverage or insured items automatically notify other pool members, keeping the whole pool's coverage landscape transparent.

Consistency in item type — updates to insured items must stay within the type or kind of items your specific pool covers.

Transitioning to a new pool — to cover an item outside your current pool's scope, you'll be guided to join a pool that matches the coverage you need.

4.Your membership

By becoming a member, you agree to the following:

4.1 Member responsibilities — you're responsible for selecting coverage options and participating in the life of the pool. Claims are verified through the platform's transparent, rules-based process (see Section 8). Members decide collectively, by voting, how excess pool funds are used at the end of each cycle: carried over, applied as contribution credits, or donated to shared social causes.

4.2 Ownership requirement — you must own the insured item, or be a family member of the owner. For a business, the item must be issued to and used by its employee(s).

4.3 Taking reasonable care — you must take reasonable care of your insured item, including not knowingly leaving it somewhere it's likely to be lost, stolen, or damaged.

4.4 Security measures — if you must leave your item unattended, secure it, conceal it, or entrust it to someone you trust.

4.5 Prompt reporting — if your item is lost, stolen, or broken, file a claim through the app to notify other pool members within the defined time frame.

4.6 No intentional damage — deliberately damaging your insured item isn't covered, since it would harm other members.

Pool information access — every member has access to the pool's complete operational information, including: the list of pool members (with contact details anonymised), the current status of the pool's funds, and an overview of submitted claims — which members have submitted claims and how many — without disclosure of the underlying financial details or medical documentation. This ensures that every member can independently verify the health and fairness of their pool at any time.

All members can view detailed records of their own transactions and claims on the platform, recorded in the internal ledger for transparency and security.

5.Coverage options

Members select the coverage options defined for their pool, offering a customisable and flexible approach to protecting against various risks. You're responsible for choosing coverage that suits both your needs and the collective needs of the pool.

6.Exclusions

To keep our P2P model sustainable, transparent, and fair, coverage does not extend to the following. These exclusions may change over time.

ExclusionDetail
Unregistered itemsOnly items explicitly listed within your pool's shared coverage are protected. Additional items must be added to the pool's agreement.
Region-specific coverageItems must originate from within the region agreed by the pool for coverage to apply.
Coverage period limitationsCoverage is effective only within the pool's agreed-upon period. Incidents outside this timeframe aren't covered.
Unauthorized repairsCosts for repairs by unauthorised entities aren't covered. Pool members collectively agree on approved repairers.
Non-compliant itemsItems must meet the features or specifications set by the pool to qualify for coverage.

7.Conditions of cover

  1. Immediate incident notification — inform your pool via the app within 48 hours of theft, loss, or any other covered incident.
  2. Ownership verification — for claims involving identifiable items (e.g. devices with SIM cards), the item must be registered to you, a family member, or (in a business context) your employer or a designated employee.
  3. Supporting documents — provide an itemised bill or receipt showing ownership and value. Theft claims additionally require a police report filed within 24 hours of the incident.

All claims and payments are processed transparently and securely, with real-time updates available through the app.

8.Contacting the pool & claims procedure

Claims are handled through a transparent, rules-based verification process, so every claim is assessed under the same predefined rules. At the end of each cycle, pool members vote on whether remaining funds are carried over, applied as contribution credits, or donated to shared social causes.

8.1. Submitting and handling claims

Every claim passes through automated verification. Low-risk claims with valid supporting documents are approved automatically and paid promptly; other claims are reviewed under predefined rules within clear time limits.

Step 1 — Claim submission

Any active member can submit a claim through the Wemates app. A claim can only be submitted if: (a) your membership and subscription are active; (b) the applicable waiting period since joining (14–30 days, depending on the pool) has passed; (c) you have no overdue contributions; (d) the incident falls within your pool's coverage scope; and (e) there's no duplicate open or recently closed claim for the same incident.

Step 2 — Automated verification and review

Supporting documents are checked for authenticity, dates, amounts, and duplicates, and the claim receives a trust-based assessment (derived from your Trust Score) that determines how it's processed.

Low-risk claims that pass automated checks are approved immediately. Claims needing closer attention go to a human reviewer, who decides within 24–48 hours and may request more evidence. Complex or high-risk claims are escalated to a review committee, with a decision within 72–96 hours.

Step 3 — Approval and payout

If a claim passes verification, it's approved and the amount is immediately reserved from the pool's funds, so concurrent claims can't deplete the same funds. Payment is then promptly initiated, subject to the pool solvency check in Step 5.

Step 4 — Rejection and resubmission

If a claim fails verification, it's rejected with a documented reason, or more information is requested. You can resubmit with additional arguments or evidence — up to three resubmission attempts. A resubmitted claim is assessed by a different reviewer or escalated to the review committee, to avoid bias. If it passes on review, it's approved and paid; otherwise, the rejection is final, with a detailed reason provided.

Step 5 — Exceptional claims and the Support Fund

Claims needing funds beyond the standard coverage limit go through a two-step review: first, standard verification against the pool's coverage criteria; then, a separate decision on allocating Support Fund resources.

Pool solvency guard — before any payout, the system checks that the pool's available balance (pool balance × Liquidity Coefficient) covers the approved amount. If not, the payout is queued, you're notified, and it's released once the next contribution cycle completes.

Step 6 — Claim settlement

Once approved, payment is initiated from the pool's funds directly to your bank account or card — the same one you use to contribute — via a payment provider such as Stripe. You'll receive an automatic notification in the app once payout has been initiated.

8.2 Additional considerations

Manufacturer's warranty — if your item is still under warranty, we encourage exploring that option first, as it may offer a no-cost repair or replacement.

Respectful and fair handling — we expect members to engage respectfully with one another and the platform throughout the claims process.

Full information, promptly — timely, complete information from claimants keeps claims processing efficient; delays may slow down your payout.

Choice of law

To be confirmed: the governing law for this policy is still being finalised. All communication with members is conducted in English.

Policy amendments

If changes to these terms become necessary, we'll give you 30 days' written notice — to your last known address, or by email where we have a valid one. Changes are only made for valid reasons: changes in the law, regulatory requirements, industry guidance, codes of practice, or legitimate cost changes associated with providing coverage.

Data protection

We follow the GDPR and are committed to safeguarding your privacy. Please review our Privacy Policy alongside these terms to understand how we use and protect your information.

By engaging with Wemates, you consent to the collection and use of your information as described there — including to provide our services, gather feedback, and inform you about our products. If a claim is approved, other members of your pool will see that a payout was made and its effect on the pool balance, but your personal claim details are not disclosed beyond what pool rules require for verification. We follow the GDPR, and for this reason the oversight of compliance with pool terms and the verification of claims — including the review of supporting financial and medical documentation — is carried out solely by Wemates as the platform provider, and never by other pool members. This allows each pool to remain fully transparent to its members while sensitive personal data is processed only by the platform.

We take data security seriously and protect your information against unauthorised access, unlawful use, and accidental loss or damage. Data is retained for a reasonable period, or as required by law. To exercise your data rights, contact help@wemates.ai.

Where we transfer your information outside the EEA, we ensure the receiving party commits to the same level of protection required under EU regulations.
